Manually adding a staff member will provide the user with the ability to create and share assessments via Teacher Mode. A manually added staff member will not have access to any classes or students unless Access Group membership is granted.
- Staff added via a sync or import method will already have access to classes and students as designated from the roster source.
- Staff added manually may also be added to a class manually.
Create New Staff
- With Admin Mode, select the Staff tab.
- Select New and choose Create New Staff from the drop-down menu.
- Complete the required information. First Name, Last Name, Email, and ID are all required fields.
- Select Manage Associated Schools
- If you are adding a staff member as a System Admin, remember to select ALL SCHOOLS. See the example screenshot below.
- Once all information is complete, select Done and Save.
Import Staff Using a File
This is the recommended method for manually adding non-rostered staff when multiple users need to be created and the Gradient Leader is not able to make the update from a synced roster source like Clever or ClassLink. Examples of non-rostered staff may be District Coordinators, Principals, Assistant Principals, Coaches, etc.
TIP: If you are importing non-teaching staff across more than one school, make school-specific files and then select a school before completing the steps below to automatically "associate" all staff in the file to the selected school. By importing into a school-filtered staff list, you get to skip the step of "Managing School Associations" for staff that only belong to one school.
- Within Admin Mode, select the Staff tab. Select New and choose Import Staff from the drop-down menu.
-
Use the required Staff Only tab of the import file template.
TIP: If you want to make a file per school, name each file with a school name, select the school first from the Schools Tab, and then choose the NEW button drop-down menu to "Import Staff for...". This will associate the imported file of classes to the selected school. -
Select or drag the Staff Only file and choose Next.
-
Verify that the changes shown are correct (and resolve any errors in the file) before clicking Next.
-
Click Run Import.
-
The Staff tab will now show the imported staff using the Filters - All Active Staff.
TIP: Staff imported with a file must be associated with a school or connected to a class in order to log in.
Next Steps
After manually adding staff, next steps may include:
- Adding staff to Access Groups or extending their permissions. Learn more here.
- Adding staff as Co-teachers to a manually created or imported class.
- Sending staff login invites.
- Sharing assignments authored by other staff for proctoring or assignment delivery via groups instead of rosters.
