Create a CSV File for Import

1. Export data from an exisiting system or create a .csv file using a spreadsheet program. Use the following field headers:

Term - Import multiple terms or create terms manually from the Admin menu

School - Import multiple schools using each school's Unique ID (found in the Schools section of the Admin menu). Select a single school for the entire import from a drop-down menu.

Teacher First Name - List teacher's first name

Teacher Last Name - List teacher's last name

Teacher Email - List teacher's email address

Class Name - Name of class taught by teacher

Class ID - A name or number the district or school uses to identify a class (Note: Class Name and Class ID can be the same)

Class Period - To allow the teacher to find his or her roster quickly (optional)

Student First Name - List student's first name (Note: Create one line for each class a student is in)

Student Last Name - List student's first name (Note: Create one line for each class a student is in)

Student ID - Unique ID for each student (Note: This ID should match the one used in your school's information system)

GradeCam ID - Use if the Student ID is not used (optional)

Gender - Student's gender (optional)

Disability - Description of student's disability (optional)

Ethnicity - Student's classification (optional)

FARMS - Eligibility for free or reduced lunch (optional)

Intervention - Indicate if student is receiving services (optional)

Import File

Import File

1. Log into your GradeCam account and click on the Admin tab.

2. Choose Import from the Admin menu.

3. Click on the "Add Import" button and select "Combined Import or Classes Import" from the drop-down menu.

4. Click on the "Choose File" button.

5. Locate the file you want to import (1) and click on the "Open" button (2).

6. Click on the "Import" button.

7. Choose the Delimiter Method (1) and the Header Row (2) from the drop-down menus and then click on the "Next" (3) button.

Delimiter Method - How are the pieces of information separated (i.e. commas or tab)? (This example uses commas)

Header Row - Which row contains the name of the information in each column? (This example is Row 1)

8. Select a Term already created  for your entire import to go into (1) or select a column in the imported file that identifies the Term (2) and then click on the "Next" (3) button.

Note: If the Term(s) don't exist they will be created.

9. Select a School for your entire import to go into (1) or select a column in the imported file that identifies the School (2) and then click on the "Next" (3) button.

Note: You cannot create new schools with an import.

10. Select the column in the imported file that identifies each of the fields listed and then click on the "Next" button.

11. Select the column in the imported file that identifies the Class Name (1), Class Identifier (2), Class Period (3) and then click on the "Next" (4) button.

Note: Class Name and Class ID can be the same column (using the same information). Class Period is optional.

12. Select the column in the imported file that identifies each of the fields listed and then click on the "Next" button.

13. Preview the changes listed and then click on the "Submit" button.

14. Click on the "Done" button.

1. Click on the "Send Invite Emails" button so new teachers that were imported receive an email allowing him or her to set a password.
