12g. Mail Merge Student Codes Using Gmail


Overview: The student login codes will be downloaded from GradeCam, then copied into a Google Sheet. An Add-on will be added to your Google Account to create the mail merge (we will use Mail Merge with Attachments add-on) this is one of many Add-ons for mail merge). You will need to also have the student emails to complete the merge.

Obtain Student Codes for the Student Portal


Select the Excel or CSV option.

Gmail Mail Merge using Add-ons

Install Add-on for Mail Merge

  1. Open your Google Drive
  2. Create a New > Google Sheets
  3. Select Add-ons menu > Get add-ons > Search and Install the "Mail Merge with Attachments"

Enable Add-on for Mail Merge

  1. Select Add-ons > Mail Merge with Attachments
  2. Select Enable Mail Merge


Create Merge Template

  1. Select Add-ons > Mail Merge with Attachments
  2. Select Create Merge Template. This will create headers that will be used for the mail merge to Gmail.


Add field data to Merge Template

  1. Open the Downloaded Excel or CSV document with Student Codes and the file with the student email. Suggestion is to add the student emails to the downloaded excel document for student codes.

  2. Copy & Paste the fields First Name, Last Name, Login Code and Email from the Excel or CSV file into the Merge Template.


Configure to Mail Merge

  1. Select Add-ons > Mail Merge with Attachments
  2. Select Configure Mail Merge.


Confirm your email and add name

  1. Configure Mail Merge button (if does not open automatically)
  2. Confirm your email & type your name
  3. Scroll down and select Continue

(the next configuration Enable Email Tracking is optional, scroll down select Continue)

Create the text of the email

  1. Create Email Template configuration, select Edit

  2. Add Email Subject (1)
  3. The magenta boxes are the merged fields selected from drop down menu (2)
  4. Select Save
  5. Select Continue


Send email

  1. Send Email Campaign
  2. Select Test Email or Run Mail Merge
